Booterstown Parish Youth Club and relevance of the new General Data Protection Regulations (GDPR)

The new GDPR legislation requires every Organisation to inform its members what information it holds about them, who that information is shared with and what that information is used for.

Accordingly we set out below all these facts in relation to the members and Summer Project participants of the Booterstown Parish Youth Club (BPYC).

What information do we hold for each Member?

  1.     We record on our Computer System – Name, Address, Phone Number, email address of the member’s parent and/or guardian.
  2.     We record whether a membership fee has been paid and by which method of payment (cash/cheque).

Who do we share this information with and why?

We do not share this information with any third parties.

However, for the purposes of health and safety we have each member’s assigned telephone number listed on the weekly sign-in sheets.  This ensures that in the event of an incident we can call a parent/guardian quickly.

What security is applied to this Data?

  1.     The Computer System holding this data for Booterstown Parish Youth Club members is controlled by a secure password.
  2.     The Paper File of Application Forms is held in a bureau in the home of the Chairperson.
  3.     Paper application forms are destroyed at the end of each academic year.
